| Conversation Log Use the Conversation Log to track interactions with the borrower, service providers, and other contacts related to the loan. You can also send alerts to other loan team members to request follow-up actions. To Create a Conversation Log Entry: On the Tools tab, click Conversation Log , and then click the New icon. Or, on the Log, click the New icon , select Conversation Log , and then click OK . Or, click a Borrower Contact or Business Contact icon for a contact (found in the Default Providers tool, File Contacts tool, Pipeline, and Loan Workspace). After you click an icon, click a phone number or email address. A Conversation Log worksheet opens that corresponds to the contact. Or, click a Phone or Email icon. A Conversation Log worksheet opens that corresponds to the contact and the open loan. On the Conversation Log worksheet, add or change the Name and Company with whom the conversation took place, or click the Address Book icon to select a name from the file contacts for the loan. Type or change the phone number or email address as needed, and then select Phone or Email to indicate the type of conversation. If you select Email , a new Microsoft Outlook email message window opens with the contact's email address already populated. If you want the content of the email message to become part of the loan file, simply copy and paste the message from Outlook to the Conversation Log worksheet. In the Comments section, type information related to the conversation. The Previous Comments section displays any comments entered by users who previously accessed the file. If you do not want the Conversation Log entry to display in the Log, clear the Show entry in the loan Log checkbox. The entry will still be accessible from the Conversation Log list. To request follow-up by a loan team member, in the Follow Up section, select a role, and then set the due date. A separate follow-up entry (with red text) is created in the Log. The alert displays on the selected loan team member's Pipeline. Edit a Conversation Log Entry Click the conversation entry in the Log. Or click Conversation Log on the Tools tab and select the entry from the conversation list. Select the Edit log checkbox, and then edit the previous comments or add new comments as needed . If your company has chosen to lock conversation log entries, you will only be able to add comments in the New Comments section. Follow-Up on a Conversation Log Alert Click the red follow-up entry in the Log. Or click the follow-up alert on the Log's Alerts & Messages tab. Or click Conversation Log on the Tools tab and select the entry from the conversation list. Select the Edit log checkbox. After completion of the follow-up action, select the Followed up on checkbox. Change the followed-up date if necessary. The Conversation Log entry is updated with the follow-up information. The alert entry is changed from red to black on the Log. The alert is removed from the loan's alert list on your Pipeline and from the Alerts & Messages tab on the Log. Delete a Conversation Log Entry Click Conversation Log on the Tools tab and then select the entry from the conversation list. Select the Edit log checkbox. Click the Delete icon and then click Yes to confirm that you want to delete the entry. See Also: Alerts |
